Facility Access Policies

Access by Age
Facility access is authorized to the general public with valid membership or paid drop-in
- 19 years old +
- Full facility access
- May supervise users under 19 years of age

- Allowed pool and gymnasium access without supervision
- Weightroom and Cardio room access upon completion of a Youth Weightroom Orientation or under supervision of an adult 19yrs+

- NOT permitted in the weightroom or cardio room
- Under 7 years
- FREE pool and gymnasium access under supervision of an adult 19yrs+

- Must be within arms reach of an adult 19yrs+ in the pool

Attire and Scent Policies
Scents & Fragrance
- Scented personal products such as fragrance, perfumes, colognes and lotions that are perceptible to others should not be worn in our facilities.
- For safety and/or facility maintenance reasons, appropriate sport or exercise clothing and footwear are required for participants.
- Jeans, zippers, belts, snaps, metal studs, and other materials on clothing that may damage equipment, upholstery or flooring are not permitted.
- Indoor clean athletic footwear is required at all times in all locations of the fitness centre. Shoes that are dirty or that leave marks on the floor or equipment may be banned from use.
- Clothing with profane language, inappropriate subjects, etc. are not permitted to be worn in the facility.
- Clothing must always cover your entire torso and buttocks areas. If abdomen or gluteal fold are visible you will be required to change or leave the facility.
- PSP staff reserves the right to determine what constitutes as appropriate clothing.

Facility Use Policies
The priority of the 19 Wing Fitness and Community Centre is for the fitness and recreation of Military Members, Military Families, DND Employees and their Families. The remaining time is open to Ordinary and Associate Members. Eligibility for the above categories are available here or from the Customer Service Desk and Membership or Drop in Fees will apply.
Expectations/Policies- Individuals are responsible for reading, understanding and abiding by all rules and regulations of the 19 Wing Fitness and Community Centre.
- Not all rules are posted in immediate areas. If a staff member requests your cooperation, you must adjust your behaviour.
- PSP staff reserves the right to render judgment and decisions on policies not specifically covered.
- All individuals participate in exercise at their own risk.
- Users aged 13-17yrs must be accompanied by an adult in the same room or have successfully completed a Youth Weightroom Orientation.
- Stop your workout and seek help immediately if you experience any injury including light-headedness, dizziness, nausea, or any other discomfort.
- Because of increased risk of injury, it is recommended that jewelry be removed prior to participating in any activities or before utilizing any equipment in the fitness areas
- Slamming or dropping weight stacks, plates, or dumbbells is prohibited. Always maintain control while exercising.
- Any activity that may damage the facility/equipment or is deemed unsafe by PSP staff must be stopped immediately.
- Weight collars or clips are required on all barbells.
- Users must return dumbbells/bars/weights to their appropriate storage racks when finished.
- Open-food or drinks are prohibited. Beverages are only permitted if contained in a plastic sports bottle with a secured top (No cups or glassware).
- Report any facility/equipment irregularity including damaged or broken equipment to the Customer Service Attendant.
- No equipment shall leave the facility or be altered at any time in any way.
- Respect for equipment, facility, staff, and other members must be demonstrated at all times (ex. – no cursing, yelling, loud and/or excessive cell phone use).
- Exercise equipment should only be used for its intended purpose.
- Personal exercise equipment is not permitted, for example gravity boots. Small personal items such as bands, belts or foam rollers are permitted however PSP staff are not liable for any damages or personal injury.
- Individuals must clean equipment after each use. Sanitizing wipes are available throughout the facility. Personal towels do not suffice.
- Bags and personal clothing must be stored in day lockers or room cubbies and not left on or around equipment. Staff will not hold or be responsible for any personal items.
- The Fitness, Sport and Recreation Departments are not responsible for any lost or stolen items.
- Please allow others waiting for a machine to work into your rotation.
- A 30 Minute maximum must be maintained on all Cardio machines while others are waiting.
- Unauthorized personal training (including any rehabilitation services) is prohibited and may result in loss of facility access for both trainer and trainee
- The use of camera/video enabled devices is strictly prohibited in change rooms and washrooms
- Our Fitness, Sports and Recreation Department reserves the right to put into effect any new guidelines to protect the health, safety and integrity of all members using the 19 Wing Fitness and Community Centre.

Membership Cancellation & Refund Policies
PSP Plan (Facility Memberships) Cancellation Policies

Clients have the right to cancel any PSP PLAN within 10 calendar days of purchase. They don’t need a reason within this window and will receive a full refund upon providing notice to cancel.

Cancellation of Set Fee PSP PLANS are permitted for medical reasons, relocation or military operations. Accompanying documentation may be required. Refunds are prorated to the date of withdrawal.

Cancellation of Auto Renew PSP PLANS must be made in writing or in person 30 days prior to the next payment. The plan holder’s signature is required on the membership form to terminate automatic payments.

The onus is on the PSP PLAN holder to ensure the monthly deductions have been discontinued.

Transfer of memberships is not permitted.

Camp, Course & Session Cancellation Policies
Cancellations - Programs, Courses or Sessions cancelled by PSP
Course Cancellations are applied on a course-by-course approach as determined by local PSP Management. Local PSP Management may Cancel a Course and/or session prior to the start date for a variety of reasons including but not limited to:
- Low Registration
- Facility Closure
- Instructor Availability
- Inclement Weather
- Health & Safety Closure
Clients registered in a course/activity that is CANCELLED will be contacted by phone/email and will receive a full refund or credit. Dependent on Payment type refunds may take 3-6 weeks to process.
Cancelled sessions due to weather closures or facility operational issues may be made up at another time. If unable to do so, a pro-rated refund or credit for the portion of program that was missed will be issued to the Client as determined by local PSP Management.
Withdrawals - Programs, Courses or Sessions withdrawn by Client
Course Withdrawals are approved on a case-by-case approach as determined by local PSP Management. A client can withdraw from a course/session when circumstances beyond the clients control impact their ability to participate and refunds may be applied under the below circumstances:
- Full refunds for medical or military/career related reasons with approved documentation will be authorized prior to course start date; after the start date refunds will be prorated.
- All other refund requests must be received 14 days prior to the start date.
- A 10% Fee for late withdrawal may apply.
- If more than 50% of the program has elapsed, no pro-rated refund will be issued.
- If a program advertises a required a non-refundable deposit, no refund will be issued for the deposit.
- Dependent on initial Payment method, refunds may take up to 3-5 weeks to process.
In the case of a dispute, refund decision will be made by local PSP Manager on a case by case basis.
