ALL CFMWS BUSINESS TRAVEL MUST BE RESERVED BY CFMWS TRAVEL SERVICES
- Traveller provides Travel Services approval email/letter/form from Approving Authority.
- Traveller submits TravelXpert (TX), complete with travel dates, preferred times, method of travel, car or hotel if required. A subsequent email can be sent to your Travel Coordinator if there are more details you would like to provide.
- Travel Services will complete travel request and update your TravelXpert.
- Travel Services will send your Eticket Invoice/Itinerary.
- If there is an issue with you ticket or if you need to make changes, contact Travel Services IMMEDIATELY!
- Go on your trip.
- Traveller completes TravelXpert claim for reimbursement
- Traveller gets Approving Authority to approve an sign Travel Xpert.
- Traveller submits TravelXpert and corresponding invoices to local NPP accounting office for payment.
- Traveller will receive electronic payment based on approved TravelXpert claim.
- If an advanced was issued, it will be recovered from travellers pay 21 days from date of return if the travel expense has not been submitted for approval and payment.
PLEASE NOTE:
If you must amend travel requirements during regular business hours (Monday-Friday 0800-1600, advise CFMWS Travel Services. After hours, contact AMEXBGT if URGENT only. If changes are within 2 hours of your flight, changes must be done directly with the airline as your file is now under airport control.
Not all hotels are booked through AMEXGBT. If cancelling after hours, please ensure you cancel directly with the hotel to ensure you do not get charged a no-show fee. If you have to check out earlier than expected, please advise the hotel prior to checking out.
On your return, please advise Travel Services of the changes made
QUICK TIP:
- Please ensure you name on your TX matches the ID you will provide at check in (you will be denied boarding if name does not match).
- Date of birth is required to make a reservation
- A GL must be on your TX. If the GL has changed, it must be manually entered as the TX will keep the GL from your last trip.
