We are the Mainland BC Military Family Resource Centre. For three decades we have stood beside Canadian Armed Forces and Veteran families across this province, serving the largest catchment of any MFRC in Canada. We are a small, close-knit team, and we are looking for the person who will sit at the very centre of it.
The role
When a military family calls, emails, or walks through our door, you are the first voice and the first face they meet. When our Executive Director needs the day to run, you are the person who makes it run. This role is the central hub of our Centre: the point where families, staff, the ED, the board, and community contacts all connect.
Your week blends three kinds of work. Most of it is front-of-house and office operations: answering phones, welcoming families and connecting them to the right support, keeping our records, systems, and space in order. A quarter of it is executive and board support: managing the ED's calendar, preparing agendas and minutes, keeping communications flowing to CAF units across Mainland BC, and supporting board meetings and our AGM. The rest is hands-on financial administration: receipts, vendor payments, bank deposits, donation tracking, and thank-you letters.
Our tempo moves between quieter stretches and hectic seasons (year-end and audit, the AGM, deployment cycles, summer programming). You'll use the slower periods to get ahead, so the busy ones run smoothly.

- You're warm at a front desk and calm under pressure, and you know when something should be handed to a professional.
- You're reliable and discreet: comfortable being trusted with keys, banking, and confidential files.
- You're current in office technology: strong Microsoft 365 skills, and quick to adopt new digital and productivity tools, including automation and smart tools that streamline routine work.
- You're adaptable to different communication and working styles, and you can turn a quick verbal conversation into organized written follow-up.
What you'll need
- A post-secondary certificate or diploma in office or business administration, or equivalent experience.
- At least two years of administrative, executive assistant, or office coordination experience, plus experience in a client-facing or front-desk role. Basic bookkeeping experience is a strong asset.
- A valid BC driver's licence, a clean driver's abstract, and reliable transportation (mileage reimbursed).
- A clear criminal record check (including vulnerable sector) and the ability to pass Enhanced Reliability screening.
- Assets: bilingualism (English/French), experience with client databases or CRMs, and familiarity with military or Veteran family life; lived experience in the CAF community is welcome.
What we offer
- $31.50/hour to start, rising to $32.50 upon successful completion of three months and $33.50 upon successful completion of six months.
- Extended health and dental coverage and Long-Term Disability after three months, plus vacation and paid sick leave.
- Monday–Friday schedule (9:00 a.m.–4:30 p.m.), closed all statutory holidays; occasional evening or weekend events are scheduled in lieu of daytime hours.
