What are the benefits to using a CCC?
Using the CCC provides many benefits to the cardholder and the entity. The biggest benefit of using the CCC is that it offers a rebate resulting in money going back to the entity. An increase in usage will yield a higher total rebate to the entity.
Also, CCC simplify the purchase process by reducing, if not eliminating the requirement for cheque/reimbursement requests and holding petty cash. -
Do I need to take a NPP certification course to be a NPP credit card holder?
No. As a CCC holder you are simply using the credit card as a payment method and that does not require the completion of a NPP certification course.

Will I receive my credit card and PIN at the same time?
No. The PIN and the credit card will arrive separately for security purposes.

Do I have to activate my card before I can use it?
For CCC, the local Base Card Administrator will activate your card before it is issued to you.
For CFMWS Travel Cards, the cardholder must activate the credit card by calling the credit card company before it can be used. -
What should I do if a transaction is declined on my credit card?
For CCC, contact the local NPP Accounting Office for assistance and inform them of the declined transaction and the reason for the decline (if known). Depending on the reason for the decline, the NPP Accounting Office should be able to assist with rectifying the situation.
For Travel Cards, contact the customer service center using the phone number on the back of the credit card. -
How do I increase my credit card limit?
For CCC, send an email to your manager explaining the reason(s) and duration (indicate whether the increase is permanent or temporary) for an increase and, if approved, your manager will forward the email to the Card Administrator to officially request the increase. Approval for permanent/temporary monthly limits in excess of $15K on individual cards rests with the CFO and Directors within the Finance division.
For CFMWS Travel Cards, send an email to your manager explaining the reason(s) and duration for an increase and, if approved, your manager will forward the email to the Card Administrator to officially request the increase. An increase to the CFMWS Travel Card can only be a temporary increase.

What should I do with my credit card(s) when I go on vacation?
It is recommended that you do not take your CCC or your Travel Card with you on vacation. You should leave your CFMWS credit cards in a secure location with accessibility limited to only you or, in the case of Entity CCC, limited to other authorized users.

As a Corporate Credit Card holder, where do I go to reconcile my credit card purchases?
Sign In to Smart Data (mastercard.com) is the website URL where you can see and reconcile all transactions on your Corporate Credit Card.

If I haven’t made any purchases in a month, do I have to submit a $0 credit card recap?
No, but the cardholder must log in to Smart Data by the 2nd business day of each new month to ensure no transactions have been processed on their card. If there are no transactions then no further action is required.

Can I have someone else reconcile my credit card purchases for me?
Yes, you can authorize someone else to have access to Smart Data in order to reconcile your purchases on your behalf. This is known as a “proxy user” and they will not have access to use your credit card or see your credit card number, they will only have access to reconcile your purchases.
To set this up, contact your local NPP Accounting Office.

Am I the approving authority on my credit card recap?
No, it is prohibited to approve your own purchases. Someone in your chain of command that has delegated authority to approve purchases must sign your recap as the approving authority.

What happens if I do not reconcile my credit card purchases?
Unreconciled purchases are unauthorized purchases which are put into a credit card expense holding account and do not accurately reflect the nature of the purchases.
If your purchases are continuously left unreconciled, your supervisor/manager will be informed and your credit card may be suspended and/or revoked. -
What do I do if I forget my password to Smart Data?
On the Smart Data login page, click on “Forgot Password/PIN?” and a temporary password will be sent to the email address associated with your account.

What do I do if I don’t receive an email with my temporary password/I don’t know the email address associated with my Smart Data account?
Contact the local NPP Accounting Office and the Base Card Administrator will be able to tell you the email address associated with your Smart Data account.

What do I do if I get locked out of my Smart Data account?
Contact the local NPP Accounting Office and the Base Card Administrator will send a request to the Card Administrator to have your account unlocked.

When can I not use the Tap payment method on my Corporate Credit Card (CCC)?
There are 2 times when the Tap payment method cannot be used.
First and most important is the very first time you use the CCC you must insert the card into the payment terminal and enter the PIN (regardless of the purchase amount). This will officially activate the card for Tap usage on future purchases. If Tap is attempted on the first purchase, the card will be frozen and you will need to contact the NPP Accounting Office for assistance.
Second is for any purchase/transaction over a merchant’s threshold limit. Each store/merchant can set their own tap threshold limit (usually between $100-$250) and any transactions over that limit must be paid for by inserting the card into the payment terminal and entering the PIN. -
Why can I not use my CCC for work travel?
The CCC cannot be used for work travel due to the distinct reimbursement processes for CCC expenses and travel-related expenses. Additionally, certain travel companies are blocked on the CCC, limiting its use in specific locations.
CFMWS offers an Individual Travel Card (ITC) that can be obtained for work travel purposes. -
Can I use the CCC for personal purchases?
The CCC shall not be used for personal purchases. If a personal purchase is made on your CCC in error you must notify the local NPP Accounting Office immediately and they will inform you of the process required to pay back the amount of the personal purchase.

Whom should a credit card holder contact if they suspect there is a fraudulent transaction on their card?
For CCC, contact your local NPP Accounting Office immediately and they will liaise with the card administrators to investigate the situation.
For Travel Cards, contact the customer service center using the phone number on the back of the credit card. -
Who has access to Smart Data to see my CCC purchases?
The National Card Administrator, the local NPP Base Card Administrator and the Account Group Manager have access to see your CCC purchases.

Can I give my CCC to my colleague and/or boss to use?
No. Individual CCC shall only be used by the designated cardholder and cannot be shared.
Entity CCC on the other hand, can be used by multiple people within the entity but should be controlled by one designated cardholder for security purposes. -
What do I do with my CCC and/or CFMWS Travel Card when I leave my position or no longer require the card(s)?
Prior to leaving your position or when the card(s) is no longer required, inform your local NPP Accounting Office that the card(s) need to be cancelled then give them to your manager/supervisor for destruction.

What is an Entity CCC?
An Entity CCC is similar to an individual CCC except that the name showing on the front of the card is that of an entity or unit rather than an individual. Entity CCC can be used by multiple people within the entity/unit but is registered to one person who is identified as the primary cardholder.

As an Entity CCC holder, is there anything I need to do to handover the CCC prior to leaving my position?
Yes. You are required to transfer the entity card over to a new primary holder. Contact your local NPP Accounting Office for details.

Can I use my own personal credit card instead of the CCC to make company purchases?
Although there is no longer a prohibition on using personal credit cards, it is strongly encouraged that the CCC is used for all company purchases in order to take advantage of the rebate that goes back to the entity.

Is there another credit card I can use for work travel?
Yes. CFMWS has an Individual Travel Card (ITC) specifically for work travel. To request an ITC, you must complete the online BMO Application Form.

Who do I contact to get a CFMWS Travel Card?
To request a CFMWS Travel card, you will need to complete the online BMO Application Form, which will be forwarded to your manager for approval.

What happens if I do not pay the balance on my Travel card?
It is your responsibility to pay the balance owing on your Travel card on or before the due date. Failure to do so could result in late fees charged to your card for which CFMWS will not provide reimbursement. Long standing past due balances will result in card suspensions and the cardholder’s account being sent to collections.
Late payments will have a negative impact on your personal credit rating.
